Context: This guide demonstrates how the Employer Portal manages new and existing employees when submitting a Contribution via file upload.
Note: This article demonstrates the scenario in which new or existing users belong to multiple funds.
Initial Configuration
Upload a Contribution File that includes an employee.
Click Next to upload and process your contribution file
Scenario 1: New Employee Identified with Multiple Funds.
Context: The new employee with more than one fund in this example is Erin Stevens.
Note: When an employee with more than one fund is detected, the system will create a single Employee record. In the contribution grid, a new row will be shown for each fund the employee has.
Each fund listed in the contribution file will be added to the new Employee's Fund Details.
Upon submission of the contribution, navigate to the Employees tab, and search for your employee
The system has created one Employee record for Erin
Click on Erin Stevens to view their Employee Details
Scroll down to the Fund choice section to see the two funds added via your contribution file
Scenario 2: Existing Employee Identified with New/Different Fund Details.
Context: The existing employee with additional funds added in this example is Olivia Williams.
Note: When the system identifies an existing employee, it will not create a new Employee record. In the contribution grid, a new row will be shown for each fund the employee has.
The new/different fund details from the contribution file will be added to the existing Employee record's Fund Details.
Upon submission of the contribution, navigate to the Employees tab, and search for your employee
The system has not created any additional records for Olivia Williams
Click on Olivia Williams to view their Employee Details
Scroll down to the Fund choice section to see that the fund that previously didn’t exist, has now been added to the Employee’s profile.
Note: The default fund (Fund 1) was already assigned to Olivia Williams, and therefore ignored. Fund 2 was added as this was a new fund assignment via the contribution file upload.
